This policy explains what personal information VulcanTech collects through this website and our business enquiries, why we collect it, and the choices you have.
1. Who we are
"VulcanTech", "we", "us" and "our" refer to Vulcan Tech, with registered offices at 124 City Road, London, EC1V 2NX, United Kingdom, and operational offices in Dubai (UAE), Pensacola (Florida, USA) and Lahore (Pakistan). We are the data controller for personal information collected through vulcantech.co.
This policy covers our website and our business enquiries. Our mobile games have their own games privacy policy.
2. Information we collect
We only collect what you choose to give us, plus a small amount of technical data needed to run the site.
When you contact us (project enquiry, discovery-session booking or callback request): your name, work email, phone number (optional), industry, a description of your project or challenge, and your preferred call time.
When you apply for a job: your name, email, portfolio or LinkedIn URL, CV/résumé file and cover note.
When you subscribe to our newsletter: your email address.
When you browse the site: technical data such as browser type, device, approximate location (country/city derived from IP address), pages viewed and referring site. Analytics data is only collected after you accept analytics cookies — see Cookies and analytics.
We do not knowingly collect special-category data (such as health or political information). Please don't include it in form messages.
3. How we use your information
- To reply to your enquiry, arrange a discovery session and prepare a proposal.
- To assess job applications and contact candidates.
- To send the newsletter you signed up for (every email has an unsubscribe link).
- To understand how the site is used and improve it (only with your consent).
- To keep the site secure — for example, rate-limiting and spam filtering on forms.
- To comply with legal, tax and accounting obligations.
We do not sell your personal information, and we do not use it for automated decision-making with legal effects.
4. Legal bases (UK and EU visitors)
- Legitimate interests — replying to business enquiries you send us, recruitment, and keeping the site secure.
- Steps before a contract — preparing a proposal or statement of work at your request.
- Consent — analytics cookies and the newsletter. You can withdraw consent at any time.
- Legal obligation — keeping business records required by law.
7. International transfers
We work across the United Kingdom, the UAE, the United States and Pakistan, so your information may be accessed from those countries. Where data leaves the UK or EEA we rely on adequacy regulations or the UK International Data Transfer Agreement / EU Standard Contractual Clauses, plus appropriate security safeguards.
8. How long we keep it
- Enquiries that don't become projects — up to 24 months after our last contact.
- Client records — for the length of the engagement plus 7 years (tax and accounting law).
- Job applications — 12 months after the role is filled, unless you ask us to keep your details longer.
- Newsletter — until you unsubscribe.
- Analytics — up to 14 months.
9. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or object to processing of your personal data, to data portability, and to withdraw consent. California residents have equivalent rights under the CCPA/CPRA, including the right to know and to delete; we do not sell or share personal information for cross-context behavioural advertising.
To exercise a right, email [email protected]. We reply within one month. You can also complain to the UK Information Commissioner's Office at ico.org.uk, or to your local data protection authority.
10. Security
We use encryption in transit (TLS), access controls limited to staff who need the data for their role, and regular security reviews of our infrastructure. No system is perfectly secure, but we work continuously to keep our defences current.
11. Children
This website is intended for businesses and is not directed at children under 16. We do not knowingly collect their information.
12. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top shows the latest revision; material changes will be highlighted on this page.
