What needed to change

The department's core administrative processes had developed without a centralised, role-based system. Hotel licensing for the province's tourism sector was handled through manual processes, and citizen complaints arrived through ad hoc channels, making them difficult to track through to resolution. Staff access was not governed by a single system, so there was no consistent way to define who could view or act on licensing and complaint records. For a government department, this created challenges of oversight and accountability: records were fragmented, the status of individual cases was hard to establish, and citizens had no dedicated route for routine queries. The department required a secure internal portal that would bring these functions together under clear, permission-based control.

VulcanTech delivered a secure administration portal for the department. A centralised Hotel Licensing workflow manages licensing for the province's tourism sector within one system. Complaints management brings citizen complaints into a single place for intake and tracking, replacing ad hoc channels. A citizen-facing chatbot gives members of the public a direct route for routine queries. User Management allows administrators to add and edit users and assign access tiers, so each member of staff sees and acts only on the records appropriate to their role. Together, these components give the department centralised, permission-based control over functions that were previously handled through disconnected manual processes.
